What you'll do (the role)
Summary
As a Project Coordinator, you will be the focal point between local project delivery teams and remote support resources, ensuring project progress and budget status are effectively tracked and managed. You will provide essential administrative and project controls support across our solar PV and energy storage projects, enabling seamless collaboration between teams and stakeholders whilst maintaining accurate documentation and financial oversight.
Responsibilities of the Role
- Project Controls & Reporting – Be the focal point between local project delivery teams and remote support resources to ensure project progress and budget status are tracked, managed, and reported to stakeholders
- Scheduling & Coordination – Arrange meetings, set agendas, assign tasks to team members, and coordinate resource allocation to ensure the project team has what's needed at the right time
- Documentation Management – Create and maintain project documentation, including project plans, reports, meeting minutes, budgets, schedules, scope statements, and deliverables
- Progress Tracking & Monitoring – Monitor project milestones, identify potential issues, track team performance, and provide timely status updates to project managers and stakeholders
- Financial & Administrative Management – Manage purchase order requisitions, receipt and processing of invoices, track project expenses, coordinate financial reporting, and ensure adherence to budget constraints
- Risk Management – Coordinate ongoing management of project risks across the portfolio and escalate issues proactively
- Quality Control – Ensure project deliverables meet established quality standards and contractual requirements
- Contract & Procurement Management – Manage aspects of project contracts, supervise the procurement process, and ensure compliance with timeframes for external reporting and contractual obligations
- Data Analysis & Decision Support – Gather, analyze, and validate project data to identify trends, support informed decision-making, and generate performance reports
Why you'll make a great member of the team
Experience & Knowledge Required
- 4–5 years’ experience as a Project Coordinator, Administrator, or Owner’s Site Representative
- Recent experience in the construction of solar PV plants or Battery Energy Storage Systems (BESS) projects, or relevant renewable energy sector experience
- Experience working with EPC contractors, ICP contractors, and/or integration contractors
- Strong understanding of project management methodologies (e.g., Agile, Waterfall)
- Proficiency in project management tools such as Microsoft Project, Primavera P6, or similar platforms
- Demonstrated ability to manage multiple purchase orders, invoices, and financial documents
- Excellent organizational and time management skills, with the ability to manage multiple tasks simultaneously and prioritize effectively
- Proven attention to detail in documentation, data entry, and contractual compliance
Skills Required
- Excellent Communication – Clear and concise written and verbal communication in English with various stakeholders at all levels
- Problem-solving – Ability to identify and resolve project issues proactively, with strong commercial awareness
- Technical Acumen – Attention to technical details and contractual requirements; ability to understand and work with project schedules and budgets
- Administrative Excellence – Strong organizational skills with meticulous attention to accuracy in documentation and reporting
- Stakeholder Management – Proven ability to host meetings, foster cross-team collaboration, and facilitate communication between project teams, clients, and external partners
- Data Analysis – Capability to gather, analyze, and validate project data to support decision-making
Education Required
- Bachelor's Degree in Construction Management, Engineering, or equivalent qualifications
- Or Associate Degree from a two-year college, technical school, or equivalent combination of education and professional administrative support experience
Additional Notes / Role-specific Requirements
Work Arrangements:
- Hybrid work location, split between Sydney office and project sites
- Infrequent travel between office and project site (approximately once every couple of months)
- Flexibility to work on-site during critical project phases
